Purpose of the data file

The purpose of the data file is to attend to the duties defined in the Act on the Chambers of Commerce, manage relationships with people in positions of trust, experts and other stakeholders, carry on research and development and market services and publications. With regard to experts and people in positions of trust, the purpose of processing the data is to update and forward contact details for attending to the duties expected of the experts and people in positions of trust or for certifying individuals for various tasks including other communications and marketing. With regard to other individuals, the purpose of processing is to handle contacts, communications and marketing. A further purpose of processing is to make or collect payments, fees and charges, conduct surveys, carry out research and compile statistics.

Data content

Name, title or position, address and other contact details of the afore-mentioned individuals including information necessary for the management of stakeholder relations. Where appropriate, the data saved in the file includes date of birth, identity number and mother tongue. Also, data may be stored on the ways the Chamber of Commerce’s website are used and visitor counts.

The data is provided by the data subjects themselves and retrieved from reliable sources.

Regular disclosures and transfer of personal data to outside the European Union or EEA

Any disclosures of data will be made subject to the restrictions and obligations imposed by existing legislation, for example for the purpose of managing relations with stakeholder groups and for research purposes. Additionally, public personal data contained in the file are made available upon request. Public personal data may be disclosed under sections 13 and 16 of the Act on the Openness of Government Activities insofar as it relates to data collected for the purpose of attendance to the public duties entrusted to the Helsinki Region Chamber of Commerce. Personal data is released to outside the EU and EEA only subject to the restrictions and obligations imposed by existing legislation.

Access to data

Each individual in the file is entitled to access their own personal data contained in the file (sections 26 and 28 of the Personal Data Act). The request for data is filed with the Helsinki Region Chamber of Commerce at the above address either in person by a signed letter.

Rectification of data

Any inaccurate data in the file will be rectified in response to a written request made to the Helsinki Region Chamber of Commerce at the above address (section 29 of the Personal Data Act). Additionally, the controller will update the data on its own initiate and delete any obsolete data at regular intervals.

Right to prohibit processing

Under section 30 of the Personal Data Act, a data subject has the right to prohibit the controller to process personal data for purposes of direct advertising, distance selling, other direct marketing, market research, opinion polls, public registers or genealogical research. Provisions concerning online direct marketing are set forth in section 26 of the Act on the Protection of Privacy in Electronic Communications. Any prohibitions are to be served on the controller at the above address.

File protection policy

The data is stored securely in controlled conditions.
The personal file is updated using IT systems. The file is protected by means of user IDs and passwords and other security arrangements as appropriate.
